Professional Services

For professional services

Your experts generate revenue. Their journeys create invisible risks and costs.

If your employees or contractors use their own vehicle for any work journey, you are legally responsible for that vehicle’s insurance, MOT and roadworthiness — even if you never see it.

The problem

What’s quietly shrinking your P&L.

Revenue leakage

Admin chasing documents, expenses and spreadsheets.

9.1 working days lost per affected employee every year to grey fleet disruption (Sixt UK Mobility Study 2025).

Every hour spent managing journeys is an hour not serving clients.

Fleet News / Sixt, 2025

Uninsured corporate liability

Employees using personal vehicles create hidden compliance exposure.

Missing insurance, expired MOTs and invalid business-use cover can become board-level incidents overnight.

Visibility after an incident is too late.

Talent and cost pressure

Rising vehicle costs impact employee wellbeing and retention.

Firms that support work-related driving improve employee experience while controlling spend.

Grey fleet

What is grey fleet?

Grey fleet means employees using their own vehicles for work. In a professional services firm that is a consultant driving to a client site, a partner travelling between offices, or a contractor on a site visit — and the firm’s responsibilities are the same as they would be for a company car.

How CarCloud manages drivers

What an employer has to be able to show

Drivers remain eligible to drive

Vehicles are roadworthy

Insurance is appropriate for business use

Mileage and CO2 impact is accurately recorded

Risks are identified early rather than after an incident

How it works

One platform for everyone who drives for the firm.

CarCloud brings driver information, vehicle information, mileage, compliance, costs and reporting into one platform. Office managers stop chasing documents, finance sees the real cost of client travel, and compliance is evidenced rather than assembled. Mileage and emissions are captured by vehicle, so carbon reporting is a report rather than a reconstruction.

Know every risk. Control every journey. Protect every billable hour.

Find out what you’re personally liable for — before an incident finds it for you.

Common questions

Frequently asked questions.

Are we liable when an employee drives their own car to a client?

Yes. An employer has a duty of care for any journey made for work, whoever owns the vehicle, and that includes the vehicle’s insurance, MOT and roadworthiness.

What is grey fleet?

Grey fleet refers to employees using their own vehicles for work purposes.

How does CarCloud check a licence without collecting paperwork?

The employee approves a DVLA licence check from their phone. CarCloud records the result and the consent, and rechecks on a schedule so the record stays current.

Does it cover partners and contractors as well as employees?

Yes. Anyone who drives for the firm can be added, whether they are on the payroll or not, and each is checked in the same way.
