For Risk & Compliance Managers
CarCloud brings driver, vehicle and grey fleet compliance data into one auditable platform — so duty of care is something you can support via evidence on demand, not something you hope holds up if it’s ever tested.

From the CarCloud platform
The numbers
~33%
of all UK road collisions involve someone driving for work.
HSE road safety data, 2026
459
people were killed in collisions involving a driver driving for work in Great Britain in 2024 — around 29% of all road fatalities.
Government road safety data, 2024
500+
work-related road deaths and around 20,000 serious injuries occur in the UK every year.
RoSPA
1.2 million
road traffic deaths occur globally each year, with many involving work-related travel.
World Health Organization
Only 35%
of grey fleet drivers have been asked to show evidence of insurance coverage, and 49% report their employer never checked licence or vehicle compliance at all.
TTC Group research, July 2025
The problem
Under the Health and Safety at Work etc. Act 1974, the employer’s duty of care applies whether the vehicle is company-owned or an employee’s own car used for work. Ownership doesn’t remove the obligation — annual declarations and self-certification don’t discharge it either.
CarCloud verifies licence, insurance (business use) and MOT status continuously, not once a year on trust.
Spreadsheets fail in exactly the way risk teams fear most: silent errors, weak access control, inconsistent versions, no audit trail, key-person risk. In an investigation, “we believe” doesn’t hold up — evidence does.
CarCloud creates a time-stamped audit trail for every verification, approval and exception, ready for scrutiny.
Near-miss reporting, driver risk scoring, training completion and incident trends often live in different systems — or nowhere at all — so patterns that should trigger action go unseen until there’s a serious event.
CarCloud links compliance status, incident history and risk indicators in one dashboard, so patterns surface early.
Owned vehicles are usually well controlled. Grey fleet — employee-owned vehicles used for work — is frequently managed through reimbursement forms alone, even though the legal duty of care is identical.
CarCloud applies the same verification and audit standard to owned fleet and grey fleet, closing the gap where most exposure sits.
What changes
The situation you inherit
Compliance evidenced through annual declarations and self-certification
No central audit trail for approvals, exceptions or incidents
Grey fleet managed through mileage forms, with no verification
Safety and compliance data siloed from operational reporting
“Are we compliant today?” takes days to answer, if it can be answered at all
Risk reporting disconnected from Board and Risk Committee packs
With CarCloud
Continuous, automated verification of licence, insurance and MOT status
Time-stamped audit trail across every driver and vehicle
Grey fleet held to the same compliance standard as owned fleet
Compliance, incident and risk data reported together
A live dashboard answers it instantly
Audit-grade reporting built for Board and Risk Committee scrutiny

A time-stamped audit trail across every driver and vehicle, ready before anyone asks for it.
How it works
CarCloud centralises driver and vehicle compliance data across owned and grey fleet, automates the verification that actually matters, and produces a demonstrable audit trail for every driver, vehicle and decision.
Licence, insurance (business use) and MOT checked and date-tracked continuously.
Time-stamped records of every verification, approval and exception.
Incident trends, near-miss reporting and risk indicators in one view.
The same verification standard applied to owned and employee-owned vehicles.
Consistent, evidenced, ready to present.
The questions your controls should survive
?
Was business-use insurance verified — not just declared?
?
Was MOT validity confirmed at the time of travel?
?
Was driver eligibility actively monitored, not assumed?
?
Is there a time-stamped audit trail behind every approval and exception?
?
Would your evidence hold up if it were tested tomorrow?
If the honest answer relies on spreadsheets and email trails, it isn’t a control environment yet — it’s a hope.
